What is the Job?
The Executive Assistant & Board and Committee Manager delivers executive-level administrative support to the CEO and Board of Directors by managing schedules, meetings and communications while ensuring seamless operations. This role optimizes executive efficiency, streamlines logistics and enhances Board and Committee engagement through efficient coordination, governance support and stakeholder communication. With a strong commitment to service, this role anticipates the needs of the CEO and Board members, ensuring they are supported, informed and equipped to focus on strategic priorities.
To succeed, you should have:
- Minimum of 4 years of experience in administrative, executive, or board support roles, ideally in high-impact environments.
- Strong ability to assess, prioritize and respond to a variety of requests in a timely and efficient manner.
- Demonstrates reliability, dependability and accountability in all aspects of work.
- Highly organized with exceptional attention to detail, accuracy and adherence to deadlines.
- Ability to anticipate needs, proactively problem-solve and adapt to shifting priorities in fast-paced environments.
- Bilingual in English and Spanish a plus.
Your essential duties and responsibilities will include:
- Executive Support for CEO:
- Proactively manage the CEO’s calendar, scheduling and priorities, ensuring efficient time management and anticipating potential conflicts.
- Coordinate and organize meetings, events and engagements, including preparing agendas, briefing materials and follow-ups.
- Act as a liaison between the CEO and internal/external stakeholders, ensuring smooth communication and handling sensitive matters with discretion.
- Manage travel arrangements by coordinating flights, accommodations and itineraries while anticipating logistical needs.
- Draft, proofread and edit correspondence, presentations and reports, ensuring clarity, professionalism and alignment with the CEO’s voice.
- Act as a proactive partner in optimizing the CEO’s day by handling logistics, such as coordinating meals, maintaining workspace, managing small but crucial tasks and ensuring seamless transitions between engagements.
- Provide administrative support for special projects, research and strategic initiatives as needed.
Board and Committee Manager: - Enable Board and Committee engagement, ensuring seamless communication, timely responses, and meaningful involvement.
- Manage all meeting aspects, including scheduling, agenda development, material distribution, and minute-taking.
- Ensure smooth meeting execution including: meeting logistics, room setup, name tags, refreshments, and materials.
- Coordinate meeting communication to ensure staff and presenters have the information they need. Assign follow-up tasks to the appropriate staff and track completion.
- Maintain and securely manage all Board and Committee records, including rosters, tenure tracking, orientation materials, and governance documents, ensuring organized and accessible filing.
- Support Board initiatives, assisting with engagement activities, surveys, and governance best practices.
