About the Position
As the Administrative Assistant you will provide administrative and scheduling support to multiple departments at Colorado Gives Foundation. Your role helps ensure smooth daily operations by managing calendars for VP-level staff, assisting with meetings and event logistics, handling communications, and performing routine administrative tasks. Your position also interacts with donors and nonprofit partners in support of department activities, including fundraising efforts. Strong attention to detail, follow-through, and responsiveness are essential for success in this support-focused role.
Your Essential Duties and Responsibilities as the Administrative Assistant
Front Desk and Guest Services:
- Provide front desk coverage and guest support as needed, including greeting and assisting visitors, supporting nonprofit guests using meeting spaces, and helping create a welcoming environment.
- This includes receiving and distributing packages and mail, coordinating meal deliveries for staff or events, and ensuring hospitality needs are met throughout the office.
Administrative and Office Support:
- Assist with the execution of webinars, workshops, and events by coordinating logistics, materials, and communications.
- Draft, proofread, edit, and send emails, memos, agendas, presentations, and other documents.
- Organize and maintain digital and physical files to ensure quick access and proper documentation.
- Coordinate travel arrangements, event registrations, and lodging as directed.
Calendar and Meeting Coordination:
- Support calendars for VP-level roles, including scheduling appointments, resolving conflicts, and preparing meeting materials in advance.
- Coordinate meeting logistics: set up rooms or virtual links, prepare agendas, configure technology, and capture meeting notes and action items.
- Provide support for internal meetings, webinars, and external events involving donors, nonprofits, and other stakeholders.
Expense and Budget Tracking:
- Prepare and submit expense reports for assigned departments.
Team and Project Support:
- Support department heads with administrative needs and help ensure materials and tasks are ready in advance.
Qualifications for the Administrative Assistant
- High school diploma or equivalent with a minimum of 2 years’ experience in administrative support, customer service, or collaborative team environments.
- Exceptional organizational skills with exceptional attention to detail, timeliness, and the ability to manage multiple priorities in fast-paced settings.
- Solid proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) and other administrative or communication tools.
- Reliable, dependable, and adaptable with the ability to anticipate needs, follow directions, and provide professional support to internal teams, donors, and nonprofit partners.
