compensation of $20.00-23.00 per hour, depending on relevant experience.

As a part time Administrative Assistant, you will manage various administrative tasks in our downtown Glendale office, ensuring the smooth day-to-day operations of the practice. You will assist in maintaining organized records, scheduling meetings, and coordinating communications, helping to create an efficient and welcoming environment for both clients and team members. Additionally, you will support the Advisor by following Ameriprise Financial guidelines and their specific instructions, ensuring the practice runs seamlessly while upholding the highest standards of professionalism and compliance. Your attention to detail and ability to manage multiple priorities will be key in contributing to the overall success and smooth operation of the office.
To thrive, you should have:
- 2+ years’ related experience or equivalent combination of education and experience
- Proficiency in MS Excel, MS Word, Outlook, Adobe, Salesforce, and other software tools
- Solid written and verbal communication skills, with the ability to compose professional business correspondence
- Ability to manage multiple computer programs efficiently
- Familiarity with navigating financial websites and guiding clients through digital platforms
Your responsibilities as the part time Administrative Assistant will include:
- Greet clients and answer phone inquiries
- Process digital client files and manage post-meeting documentation
- Handle digital file management, scanning, and organization
- Process incoming and outgoing mail efficiently
- Support Outlook inbox management for licensed staff and assist in basic client service
- Utilize CRM and other software to complete various tasks
