Branch Office Administrator
Part-Time | On-Site with some Hybrid Flexibility- Holland, MI
Are you an organized, detail-oriented professional with a passion for helping others succeed? Our client is seeking a dedicated Branch Office Administrator to support their wealth management practice and help deliver exceptional service to valued clients.
As a key member of the team, the Branch Office Administrator plays a vital role in ensuring smooth daily operations within a fast-paced, paperwork-intensive environment. Working closely with a Financial Advisor, you will help clients pursue their financial goals by providing both operational and client service support. Your responsibilities will include managing client communications, preparing and processing account documentation, maintaining accurate records in the firm’s CRM, coordinating client meetings, handling service requests, and assisting with various administrative projects that keep the office running efficiently.

This position offers competitive pay ranging from $21.00 to $29.00 per hour, based on experience, plus eligibility for performance-based bonuses after six months, rewarding both individual achievement and branch success.

To succeed as the Branch Office Administrator, you should have:
- Minimum of 2 years’ experience in financial services, client service, or a related administrative role.
- Solid understanding of life insurance and annuity products, including term, whole, and variable life, with familiarity in investment components and sub-accounts.
- Bachelor’s degree in Finance, Business, or a related field (or equivalent experience); industry licenses such as FINRA Series 7 & 66 are a plus.
- Proficient in Microsoft Office (especially Excel), CRM platforms, and digital tools such as DocuSign; ability to interpret data and support portfolio updates.
- Excellent organizational, communication, and interpersonal skills with the ability to manage multiple priorities; no travel required.
Your responsibilities as the Branch Office Administrator will include:
- Client Support: Serve as the first point of contact for clients, providing professional, responsive service in person, by phone, and via email.
- Administrative Operations: Prepare, process, and maintain client paperwork, records, and documentation with accuracy and attention to compliance standards.
- Advisor Assistance: Support Financial Advisors with meeting preparation, investment reviews, and project-based tasks that enhance client service and operational efficiency.
- Data & Systems Management: Maintain and update CRM systems, spreadsheets, and investment data to ensure accurate, up-to-date client and portfolio information.
- Scheduling & Coordination: Organize client meetings, manage calendars, and coordinate communications with clients, custodians, and insurance providers to ensure seamless workflow.
