Position Summary
The School Board Executive Administrator & Grants Coordinator serves as a vital link between the Board of Directors, school leadership, and external stakeholders. This role ensures smooth governance operations, regulatory compliance, and effective grant management. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced, virtual environment.
This is a primarily remote position, with periodic in-person attendance required at Board and committee meetings in Indianapolis.
Key Responsibilities
School Board Administration
- Coordinate Board activities and maintain official records, policies, and resolutions.
- Set meeting agendas in collaboration with the Board and Head of School.
- Prepare and distribute Board packets and presentations.
- Attend and facilitate Board and committee meetings, including technology setup.
- Draft and post meeting minutes in compliance with charter requirements.
- Assist with Board member recruitment, onboarding, and training coordination.
- Support the Board in evaluating the Educational Service Provider (Stride K12, Inc.).
- Manage Board responsibilities related to charter renewal processes.
Compliance Coordination
- Ensure adherence to Indiana Open Door Law, Access to Public Records Act, and other regulatory requirements.
- Coordinate with Stride staff and legal counsel on compliance with bylaws, fiscal policies, and corrective action plans.
- Serve as the Board’s liaison to the Authorizer and attend required training sessions.
- Support hiring processes for local staff and participate in interviews.
Grant Writing & Title Program Oversight
- Research and identify grant opportunities aligned with HCCA’s mission.
- Write and submit compelling grant proposals, applications, and reports.
- Maintain a grant calendar and ensure timely submissions.
- Facilitate all Title correspondence and ensure compliance with federal program requirements.
Preferred Qualifications
- Experience in regulatory compliance, grant writing, or education administration.
- Familiarity with virtual school models and Indiana education systems.
- Strong communication skills—both written and verbal.
- Proficiency in Microsoft Office Suite (Excel, PowerPoint) and Zoom.
- Ability to manage confidential information with discretion.
- Strong time management and organizational skills.
- Experience in human resources or board governance (preferred).
