Utilizing your skills and talents, the Administrative Receptionist welcomes visitors by greeting, assisting, and directing them when needed. You will answer and direct all incoming calls throughout the day, handle callers' inquiries whenever possible, and sort and distribute incoming mail, faxes, and deliveries. We will rely on you to provide secretarial and administrative support and ensure that all meeting rooms are clean and restocked for meetings.
To be successful as an Administrative Receptionist, you should have:
- High School diploma.
- 1+ years of relevant experience and/or training.
- Strong organizational skills.
- Strong multi-tasking skills.
- Ability to work independently on assigned tasks and accept direction on given assignments.
- Able to work collectively with administration and staff.
Your essential duties and responsibilities as the Administrative Receptionist will include the following:
- Answer and direct phone calls and take messages.
- Handle outgoing/incoming mail, manage postage, and maintain supplies.
- Send and manage FedEx parcels.
- Review and distribute faxes, interoffice mail, and company mailings.
- Prepare and send letters for new/departing physicians and office changes.
- Stock and maintain meeting rooms, kitchen, and café supplies.
- Assist with conference/boardroom preparations.
- Maintain CLIA certificates, enter rural office charges, and create name tags.
- Update directories, rosters, and organizational charts.
- IT and Records Assistance:
- Assist with lab invoices, verify hospital record statuses, and support new employee orientations.
